HVAC Dispatcher

We're growing quickly and are looking for an organized, customer-focused HVAC Dispatcher to join our team. In this role, you'll coordinate service calls between our customers and technicians, keep schedules running smoothly, and make sure every job, from routine maintenance to middle-of-the-night emergencies, gets handled with the professionalism our customers expect.

Key Responsibilities
- Answer incoming calls and collect customer, equipment, and service-request details.
- Schedule and dispatch technicians based on urgency, location, availability, and skill level.
- Monitor technicians' routes, workloads, and job status throughout the day.
- Communicate schedule changes, delays, and arrival updates to customers.
- Create and update work orders in dispatch or field-service software.
- Prioritize emergency, maintenance, warranty, and installation calls appropriately.
- Provide technicians with customer information, service history, access instructions, and job notes.
- Coordinate with service managers, installers, warehouse staff, and parts suppliers.
- Maintain accurate records of appointments, completed work, cancellations, and follow-up needs.
- Assist with rescheduling, customer concerns, billing questions, and maintenance-plan inquiries.
- Support after-hours or on-call dispatch coverage when required.
Qualifications
- High school diploma or equivalent.
- Must have hands-on experience with both Housecall Pro and ServiceTitan. This is a required qualification, not just a plus.
- Previous dispatching, scheduling, call-center, or customer-service experience preferred.
- HVAC, plumbing, electrical, or home-service industry experience is an advantage.
- Strong communication, organization, multitasking, and problem-solving skills.
- Ability to remain calm and professional in a fast-paced environment.
- Comfortable using computers, phone systems, GPS tools, and field-service software.
- Basic knowledge of HVAC terminology and service-call priorities is preferred.
Work Requirements
- Ability to sit and use a computer and telephone for extended periods.
- Availability for early mornings, evenings, weekends, or rotating on-call shifts as needed.
- Ability to manage frequent interruptions and changing priorities.
- Professional and courteous communication with customers and field employees.
Performance Measures
Success in this role is measured by response time, schedule accuracy, technician utilization, customer satisfaction, call-handling quality, and completeness of work-order documentation.
Candidates must be able to pass a background check and drug screening test.

As an HVAC Technician, you'll work full-time, Monday through Friday, from 8:00 AM to 5:00 PM. Start your day by reporting to our central location before heading out to job sites across the San Antonio area.
